1. Who we are and what this covers

Ashburn Wine Shop, Wine Bar & Bistro ("we," "us," "our") operates awswine.com (the "Site"). This policy describes the personal information we collect through the Site, how we use and share it, and the choices you have. It applies to the Site only; information collected in the shop (for example, at the register) is governed by our point-of-sale provider's terms and applicable law.

2. Information we collect

Information you give us directly. When you request a reservation, RSVP to an event, join the wine club waitlist, or place a pickup order, we collect the information you enter: name, email address, phone number, requested date and time, party size, and any notes you choose to add. Orders also include the items purchased and the pickup name (and alternate pickup name, if provided).

Payment information. Payments are processed by Square, Inc. through Square-hosted checkout or Square's secure embedded payment fields. Your full card number is transmitted directly to Square and never touches our systems. We receive order details and payment confirmation only.

Age confirmation. Before completing a wine purchase you must confirm you are 21 years of age or older, as required by Virginia law. We store that confirmation with your order.

Technical logs and optional measurement. Our hosting provider logs standard technical data (such as IP address, browser type, and pages requested) for security and reliability. Google Ads conversion measurement and privacy-minimized PostHog analytics do not load until you select "Allow optional measurement." If allowed, these providers may receive ordinary connection and browser identifiers, a page URL with its query and fragment removed, and the specific interaction we report. For a completed purchase, that report can include value, item counts, and a one-way hashed measurement identifier. We do not include names, email addresses, phone numbers, form notes, or raw Square order or payment identifiers in these browser measurement events. We disable automatic capture, automatic page views, session recording, surveys, heatmaps, performance capture, and advertising personalization in our configuration.

Your measurement choice is stored in your browser so the Site can remember it. If you allow measurement, Google and PostHog may also store their own browser identifiers under their policies. Use the Privacy choices button in the footer to decline later. Declining stops future Site events; it does not delete data already transmitted to a provider.

3. How we use information

We use personal information to: fulfill and communicate about your orders, reservations, and RSVPs (including confirmations by email and, where you provide a phone number, by text sent by our staff); operate the wine club waitlist and, if you opt in, send club and shop news; maintain the security of the Site; comply with legal obligations, including alcoholic beverage control requirements; improve the Site; and, only after your optional choice, measure whether an advertisement led to a reservation, club signup, or verified purchase. We do not enable advertising personalization or enhanced conversions in this browser setup.

4. How we share information

We share personal information only with service providers who help us run the Site and the business, and only as needed for them to perform their services: Square (payments, orders, and our point of sale), Google (email delivery via our business Gmail account, our public events calendar, and optional Ads conversion measurement), PostHog (optional privacy-minimized product analytics), Supabase (secure storage of reservation, RSVP, and waitlist records), Vercel (website hosting), and Eventbrite where you choose to buy event tickets through their platform (their privacy policy applies to that purchase). Provider practices and retention are described in their own privacy notices, including the Google Privacy Policy and PostHog Privacy Notice. We may also disclose information if required by law, regulation, or legal process, including to the Virginia Alcoholic Beverage Control Authority where applicable, or to protect the rights, safety, or property of any person.

5. Retention

We keep reservation and RSVP records only as long as needed for operations and record-keeping, order records as long as required for tax, accounting, and ABC compliance, and waitlist emails until you unsubscribe or ask us to delete them. The browser keeps your measurement choice until you change it or clear Site storage. Google and PostHog retain data according to their own policies and the account settings we maintain with them.

6. Your rights and choices

You may unsubscribe from marketing email at any time using the link in the message. Depending on where you live and which laws apply, you may have rights to ask about, access, correct, or delete personal information. We also accept those requests voluntarily where a law does not require it. To make a request, email general@awswine.com or call (703) 723-7575. You can change optional browser measurement at any time with the Privacy choices button in the footer.

7. Children

The Site sells alcohol and is intended for adults 21 and over. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

8. Security

We use reputable providers, encrypted connections (HTTPS), access-controlled databases, and payment processing that keeps card data out of our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
